Community Insurance Checklist

A structured list boards and managers can work through before renewal. It is a starting point for discussion, not a determination of what your association needs.

Property and values

  • Every insured structure appears on the current property schedule
  • Insured values reflect estimated rebuilding cost, not market or tax value
  • Values were reviewed within the last 12 months
  • Roof ages and major system updates are documented
  • Ordinance or law exposure has been discussed

Deductibles

  • The all-other-perils deductible is known in dollars
  • Wind, hail or named-storm deductibles are known in dollars, per building or per occurrence
  • The association could fund the largest realistic deductible
  • Any deductible resolution has been reviewed with counsel

Liability and governance

  • General liability limits reflect amenity and premises exposure
  • D&O covers volunteers, committees and, where appropriate, the manager
  • Umbrella or excess sits above the correct underlying policies
  • Employment-related exposures have been considered

Funds and technology

  • Crime and fidelity limits reflect operating and reserve balances
  • Funds held by the management company are addressed
  • Dual authorization and separation of duties are in place
  • Cyber exposure and payment-instruction verification have been reviewed

Vendors and contracts

  • Written insurance requirements exist for contracted vendors
  • Certificates are collected before work begins
  • Additional insured and indemnity language has been reviewed with counsel
  • Certificates are tracked for expiration

Claims and renewal

  • Loss runs for the last five years have been reviewed for patterns
  • Corrective actions after past losses are documented
  • A loss-reporting procedure is known to the board and manager
  • Renewal preparation begins at least 90 to 120 days before expiration
  • The board understands what changed this year and why

Coverage depends on the specific policy language, endorsements, facts of the loss and applicable law. This page is general information, not legal advice or a statement that coverage applies.
